What is it:

BCAQURIA Auction/Expo 2011 is the first of it's kind for BCAQUARIA. If you have never attended a Aquarium Auction before it's a blast. The first part of this is the auction itself. Anyone can bring items to sell in the auction(fish,plants,hardware,food,etc) but it has to be aquarium related. We then auction it off to the highest bidder.

The second part of this will be the expo. The expo is basically like a mini trade show so that vendors/reps/retail stores can showcase what they have and be able to meet and greet with their exact target audience.We will have a lunch/social hour for this all to happen.

It would not be BCA without prizes, so we will do raffles throughout the day. I will try to get the BEST stuff possible and make it worth wild.

Capacity: Max capacity is 200 people at this venue, registration is a MUST. If you register and realize you cannot make it to the auction please cancel your registration. If you just dont show up you are taking a spot for someone who does want to come if we hit the 200 people mark. Please be courteous of this.

Buyers: Please just register so we have accurate numbers. Buyers can arrive at 10:30am and auction will start at 10:45am. Right now we are limiting the buyers to around 140. We want at least 50 sellers to show up for a good amount of auction items. We will have a registration table you will have to sign in at when you show up. At this point we will give you a Buyers number which will keep track of your purchases.

Sellers: Please register as a seller and provide your name, phone number, email address. We will either email you or PM you through BCAQUARIA to give you your SELLER number* which you will use to mark all your items you wish to sell. Because this is limited seating and the Buyers spots will fill up you must supply at least 5 items for auction as a seller **15% of your sales will go to BCAQUARIA. Sellers can arrive at 10AM to setup.

*Seller numbers will be a number from 1-100 which will be your seller number, then for each item you have you ad a DASH (-) then the item number. Example 5-1 , 5-2, 5-3, etc. We will assign your seller numbers

**To recoup our costs for the venue, prizes, etc we will collect 15% of the sellers revenue. When you collect your money for all your sales at the end of the auction we will deduct the 15%. This is very standard with auctions and typically the % is 20-25 but we feel that 15% should be enough.

How to label/Bag your Auction Goods:
-The items you are wanting to sell must be bagged properly, double bagged if you believe it may leak. Fish Bags are ideal.
-Label the item/goods with SELLER NUMBER(which will be provided for you) AND the ITEM NUMBER (Example) Seller 4 item 1 , seller: 4-1 , 4-2 etc
-Label your item with the COMMON NAME & SCIENTIFIC NAME and any other details you want to provide, the more info you give the better a amatuer buyer will know what the item IS and IF they can use it
-Any hardware must be listed if it's in WORKING order

Vendors: You need to talk to Shawn (admin@bcaquaria.com) before you can become a vendor. Vendors cost will be 75$ which entitles you to a Table to setup. The table dimensions are 6 foot X 30 inches (rectangle). There are no table covers so those you will need to provide if you want. Any signage you want will need to be provided by yourself. Vendors can show up at 10AM to setup.

Agenda:

10:15am-10:45am - Setup for sellers/vendors
10:45am-11:00am - Entrance for buyers
11:00am-12:30pm - Auction
12:30pm-1:30pm - Lunch/Social time (concession & hot food hopefully will be onsite)
1:30pm-3:15pm - Auction
3:15pm-4pm - Vendor Clean up / Payments made from buyers / Payments given to sellers

Lunch/Food:
-We will have a mini concession setup with coffee / pop / snacks (Cash only). We will also be bringing a BBQ for anyone interested in a Burger at lunch (cost roughly 5$ cash only)

Can i bring Spouse, etc?
The problem we have is that we only have 200 seats, 200 is the max capacity of the venue and it's strictly enforced. If we have 100 people come and each bring 1 person that cuts it down to only 100 people ACTUALLY with buying and selling involved. I am not going to say no..but i would recommend this as a BCA member only event. I need to know very accurate numbers so i dont go over the 200 people. Because this is the FIRST year we are doing this i had no idea what to expect and will learn alot from this. BCA is all about family and we will learn as we go for future events.
